Answering Every Enquiry in Minutes: How AI First Replies Work (2026)

An AI first reply can answer a WhatsApp or website enquiry in seconds. What it should say, what it should never promise, when a person takes over, and what WhatsApp now charges.

Answering Every Enquiry in Minutes: How AI First Replies Work (2026)

Short answer: an AI first reply can answer every WhatsApp, website or ad enquiry within seconds, at any hour, and hand a qualified lead to your team with the details already filled in. It works when it is kept narrow: answer the easy question, collect what sales needs, say when a person will call. It goes wrong when it is allowed to promise prices, refunds or dates. And since October 1, 2026, WhatsApp charges for more of these replies than it used to, so it's worth knowing the costs before you switch one on.

Why the first reply matters

Many owners will know the pattern. Someone fills a form or sends "price?" on WhatsApp at 9:40 pm. They've also messaged two competitors. Whoever replies first, with something useful, tends to get the site visit or the call. The enquiry that sits until a salesperson is free the next morning often goes cold.

The hard part has never been writing a good reply. It's having someone free to send it on a Sunday, during a sales meeting, or when 60 enquiries arrive from one ad in an afternoon. That's the job AI is now good enough to do.

What a good AI first reply does

Keep it to three jobs.

  1. Answer the question that was asked. Opening hours, location, whether you deliver to Whitefield, which models are in stock, what the starting price is (if you publish one). Feed it your own price list, FAQs and policies, and nothing else.
  2. Collect what your team needs. What they want, for when, where, rough budget, best time to call. Two or three questions in a natural order. Nobody fills a 12-field form on WhatsApp.
  3. Say what happens next. "Someone from our sales team will call you before 11 am tomorrow" beats "we'll get back to you". Then make sure someone does.

The lead then lands in your CRM or a shared sheet with a short summary, so the salesperson starts the call already knowing the answers.

Where a human must stay in

The AI should hand over, out loud, whenever the conversation reaches money, commitments or emotion:

  • discounts, custom quotes or anything off the price list;
  • refunds, cancellations and complaints;
  • delivery or possession dates;
  • anything legal, medical or financial;
  • an upset customer, or anyone who asks for a person.

There's a legal reason too. In Moffatt v. Air Canada (2024), the airline's website chatbot told a grieving customer he could claim a bereavement refund within 90 days of the ticket being issued. The airline's actual policy didn't allow that. Air Canada argued the chatbot was a separate legal entity. British Columbia's Civil Resolution Tribunal rejected that, found the airline "did not take reasonable care to ensure its chatbot was accurate," and ordered a partial refund plus interest and fees. The amount was small, but the lesson applies to any business: customers will hold you to what your bot says.

So write down, in one page, what the AI may say and what it must pass on. Review a sample of conversations every week for the first month.

The WhatsApp option most Indian businesses will see

For many Indian businesses the enquiry arrives on WhatsApp, and Meta now sells its own AI for this. India TV News reported on July 8, 2026 that WhatsApp launched Meta Business Agent in India at Meta's Business Summit in Mumbai. It can answer questions, recommend products from a catalogue, manage bookings and help find new sales leads, and it sends summaries and alerts for missed messages. Businesses can set it to hand a conversation to a human.

That's a reasonable default if your enquiries are simple and your catalogue is already on WhatsApp. If the lead also needs to reach your CRM, check stock in your own system, or follow your own qualification rules, you'll want a setup connected to those systems, whether Meta's enterprise platform or another one.

What WhatsApp replies cost now

Meta's pricing page for the WhatsApp Business Platform (updated September 30, 2026) changed a few things that affect first replies:

  • The 24-hour window. When a customer messages you, a 24-hour customer service window opens and resets with each new message from them. Inside it you can send normal replies. Outside it you can only send approved templates, and only to people who have opted in.
  • Service replies are charged again. From October 1, 2026, Meta resumed charging for service messages. Each business phone number gets 1,000 free service messages a month, with no roll-over.
  • Ad enquiries get a free stretch. If someone messages you from a click-to-WhatsApp ad and you reply within the window, Meta opens a free entry point window of up to 7 days in which marketing, utility, authentication and service messages aren't charged.
  • Meta's AI is always charged. Messages written by Meta Business Agent cost one global rate of $2.00 per million tokens. Meta says a typical message uses 20,000 to 25,000 tokens, about 4 to 5 US cents, and that charge applies even inside the free ad window. Its own example of a simple "what time do you open?" exchange, 4 messages long, comes to about 16 to 20 cents.

None of this is expensive next to a lost lead. But it adds up at volume, so keep the AI's replies short, and let a plain template handle the questions that never change.

How to start in two weeks

Pick one channel, usually WhatsApp or your website form. Write the one-page rules: what it answers, what it collects, what it hands over. Load only your own price list, FAQs and policies. Run it for two weeks alongside your team, read the conversations, then tighten the rules.

Measure two numbers before and after: time to first reply, and how many enquiries become a call or a visit. If the second number doesn't move, the reply is fast but not useful, and that's what to fix.

If you want help wiring the replies into your CRM and follow-up, our sales pipeline automation page explains how we approach it.
