Who we are
This website is operated by Arthat AI Technologies Private Limited (CIN U62099KA2024PTC191482; “Arthat,” “we,” “us”), a company incorporated in India. When we refer to the “site” below we mean arthat.ai and any subdomain we operate. For privacy questions, write to privacy@arthat.org.
If we have contacted you about your business, or you have asked to hear from us on WhatsApp, our privacy notice for business contacts explains what we hold, where it came from, and how to opt out. Form submissions (contact and WhatsApp opt-in) are stored in our own database, alongside the email and CRM copies described below.
What we collect
We only collect information that you choose to send us. Specifically:
- Contact form submissions. When you fill out the form at /contact, we receive: name, work email, company, role, team size, phone if you give it, topic and your message, plus a record that you sent the form under our enquiry notice (see our notice for business contacts) and what you ticked in the checkboxes (see Newsletter, offers and updates). Job applications and the other forms on the site work the same way.
- Email replies. If you email us directly, we receive the contents of that email and any attachments.
- Server logs. Our hosting provider keeps basic technical logs (IP address, user-agent, timestamp, request path) for security and debugging. These are not tied to an identity.
We do notrun user accounts, payments, or tracking cookies on this site at this time. If we add any of the above, we will update this policy and note the change in the “Last updated” line.
How we use it
- To reply to your inquiry and scope a potential engagement.
- To log the submission in our internal CRM so nothing falls through the cracks.
- To improve the site (aggregated, non-identifying patterns only).
We do not send marketing to anyone who has not agreed to it. If you agree, we send our newsletter, offers and updates; see Newsletter, offers and updates below.
Newsletter, offers and updates (email, WhatsApp and ads)
Every form on this site that asks for your email has up to three checkboxes. The first, agreeing to our Terms and this Privacy Policy, is required. The second is optional: “Yes, I’d like to hear from Arthat. What this means”, where “What this means” links to our Staying in touch with Arthat page, which explains in plain words that saying yes covers occasional updates and offers by email, occasional WhatsApp messages (if you gave a number) and relevant Arthat ads on platforms such as Meta and Google. It is not our newsletter. The box may already be ticked when the form opens; you can untick it before you submit, and if you do we add you to nothing. The third is optional and never ticked for you: “Send me Arthat’s AI notes (our newsletter)”. Tick it and we subscribe you to the newsletter at once; leave it and you get no newsletter. The signup boxes on the blog and in the footer are for the newsletter by email only, never for ads, and show a Privacy notice instead of the Terms box. The ads part is explained in Ads on other platforms.
- What we store.Your email address and, if you gave one, your phone number and name; the page and form you used and the date and time; the exact wording of each marketing checkbox you saw (including the newsletter box), whether it was ticked when it appeared and when you submitted; the versions of the Terms and this Policy you agreed to, the version of the checkbox wording and the version of the “Staying in touch” page it linked to; and your IP address and browser details, as proof of consent.
- Why.To send you Arthat’s AI notes (only if you asked for the newsletter), and offers and updates, and to show that you asked for them. We use the phone number for WhatsApp only if you gave one and left the first box ticked.
- How you join the newsletter.Ticking the newsletter box on a form subscribes you straight away, with no confirmation email. The signup boxes on the blog and in the footer add a second step (double opt-in): we send one email with a confirm button, and you are not on the list, and we send you no newsletter, until you press it. If you don’t, that sign-up is deleted after 30 days. The first box never starts the newsletter. It covers only occasional updates and offers, sent to the address you typed on the form, which we don’t ask you to confirm.
- Opting out, any time. Use the unsubscribe link in every email, the email preferencespage the same emails link to (it has a switch for the newsletter, one for email updates, one for WhatsApp, one for relevant Arthat ads, and “unsubscribe from everything”), reply STOP to any WhatsApp message, or email privacy@arthat.org. We act on a request at once; email unsubscribes are instant.
- How long we keep it. While your consent stands. When you unsubscribe from email we keep only your email address, marked as unsubscribed so we never email you again, and within 30 days we erase your name, IP address and browser details from that record. We keep the record of what you agreed to on each form (wording, versions, date, email, IP and browser) for up to 3 years as proof of consent, then delete it. A WhatsApp STOP is recorded against your number and kept so we do not message you again.
- Who handles it. Resend (and, for some confirmation emails, Google Workspace) delivers our email. WhatsApp messages go through our WhatsApp Business provider. Your data stays in our own database.
We rely on your consent for this, as the Digital Personal Data Protection Act, 2023 requires: it is specific, you can withdraw it as easily as you gave it, and withdrawing never affects an enquiry or a job application you made.
Ads on other platforms
If you leave the marketing box ticked on a form (or ticked it yourself), we may share a hashed (encrypted, one-way) version of your email address and phone number with advertising platforms such as Meta and Google, to show you relevant Arthat ads or to find similar audiences.
- No raw details. The platforms match the hashes against their own users. We do not give them your email address or phone number in plain text.
- Only with your consent. This covers only people who left the marketing box ticked, or ticked it, on a form that links to our Staying in touch page, which describes ads, or on the earlier wording that named Meta and Google. Consents given before that wording, the WhatsApp page and the blog and footer signup boxes do not include it.
- Opting out, any time. Turn off the Relevant Arthat ads switch on your email preferences page, unsubscribe from everything, use the unsubscribe link in any of our emails, or reply STOP on WhatsApp. We then remove you from the next audience update.
- We never sell your data.
Who we share it with
We only share data with vendors that help us operate the site, and only to the extent they need to do their job. Our current processors:
- Resend (resend.com) — email delivery: contact form notifications, confirmation emails and newsletter issues. Receives the email address, and the message, of each email it sends.
- Meta and Google (advertising platforms) — receive only a hashed, one-way version of your email and phone number, and only if you agreed to it; see Ads on other platforms.
- Notion (notion.so) — we log contact form submissions in a private Notion database so the team can track and reply. Notion stores this data under our account.
- Hostinger (hostinger.com) — our VPS provider; handles server hosting and basic logs.
- Let’s Encrypt — issues the SSL certificate that protects arthat.ai. No data shared beyond the domain name.
We do not sell, rent, or trade your data. If we add analytics or error monitoring in the future, we will list the provider here before switching it on.
How long we keep it
Contact form submissions stay in our Notion workspace until the engagement either closes or you ask us to delete them. Server logs are rotated within 30 days. Emails are retained per our internal email policy, generally not longer than 24 months after the last exchange.
International data transfers
Some of our processors (Resend, Notion) are based in the United States. By submitting the form you agree that your information may be transferred to and processed in those countries. We rely on the contractual terms our processors provide under applicable cross-border transfer frameworks.
Your rights
Subject to your local law (including India’s Digital Personal Data Protection Act and, where applicable, the EU GDPR), you have the right to:
- Know what personal information we hold about you.
- Request a copy of it.
- Ask us to correct it if it is wrong.
- Ask us to delete it.
- Withdraw your consent for future use.
To make a request, email privacy@arthat.org. We respond within 30 days.
Cookies & tracking
We use Google Tag Manager to load analytics and advertising tags on this site. GTM is a container — the tags it loads (typically Google Analytics 4 and Google Ads) set cookies on your browser to measure how visitors use the site and to attribute ad campaigns. These cookies are first-party (set on arthat.ai) and do not contain personally identifying information on their own; Google may combine them with other signals under their own privacy policies.
We also use the Meta Pixel and Meta’s Conversions API to measure our Facebook and Instagram ads. The pixel records page views and when a form is sent. When you send a form, our server also tells Meta about it, with your email and phone number hashed (scrambled) first, so Meta can match it to an ad without seeing them in plain text. Both follow your advertising cookie choice: switch advertising off and neither is used.
Typical cookies you may see in your browser’s storage while visiting arthat.ai:
_ga,_ga_*— Google Analytics, session and visitor identification (up to 2 years)_gid— Google Analytics, short-term session bucket (24 hours)_gcl_*— Google Ads conversion attribution (up to 90 days)_fbp,_fbc— Meta Pixel, ad measurement (90 days)
A cookie preferences banner appears on your first visit so you can review what we use and opt out of optional categories. Strictly necessary cookies and the analytics / advertising cookies we rely on to operate this site are always on; marketing & personalization cookies are optional and off by default if you choose to customize. You can also block all cookies any time via your browser’s tracking-protection settings, an extension like uBlock Origin, or Google’s opt-out addon at tools.google.com/dlpage/gaoptout.
YouTube API Services
Arthat uses YouTube API Services, through an internal tool, to manage its own YouTube channel (“Arthat AI”). By using features that rely on YouTube API Services, you agree to the YouTube Terms of Service and the Google Privacy Policy.
- What we access:our own channel’s videos, comments and analytics.
- What we keep: no viewer personal data, apart from the comment text we need to reply to comments on our videos.
- Revoking access:you can remove an app’s access to your Google account at security.google.com/settings/security/permissions.
- Deletion requests: email privacy@arthat.org.
Children
The site is intended for business use. We do not knowingly collect information from anyone under 18. If you believe a minor has sent us data, email us and we will delete it.
Changes to this policy
We update this policy whenever our data practices materially change. The “Last updated” line at the top reflects the most recent revision. Significant changes will be announced at least 7 days before they take effect by updating this page and, where practical, notifying contacts we hold current engagements with.
