Who we are

Business outreach (email)
We write to people in their business role about AI services that may be relevant to their company. We only contact work addresses, never personal phone numbers or personal social profiles, and we do not track whether our emails are opened or clicked.
For each person we contact we keep:
- Name, job title, company and work email.
- Where we found the details and the date we collected them.
- Short notes about the business that explain why we got in touch.
- Our emails to you and your replies.
Where the details come from:your company’s own website, LinkedIn, Google Maps business listings, industry association directories and event exhibitor lists, public company registries, job posts and press coverage, and business-contact data providers. We check email addresses with a verification service before sending. If you ask where we found your details, we will tell you.
WhatsApp and email about your enquiry
When you contact us through a form on this site (the contact form, the AI Readiness Assessment form, the readiness check or a call request), the line directly above the button says:
“We'll get back to you on WhatsApp or email.”
Sending the form is how you ask us to get back to you. (The forms also have two checkboxes: one to agree to our Terms and Privacy Policy, and an optional one for marketing, described below and in our privacy policy.) We then store what you sent us and may email you, and message you on WhatsApp if you gave a phone number, about that enquiry only: replies, scheduling a call, your result or report, and follow-ups about what you asked. We record the date, time, form and the exact wording shown. The notice itself does not sign you up for marketing messages. While we are talking on WhatsApp we may ask whether you would like our tips as well; you are only added if you say yes.
WhatsApp tips and updates (only if you subscribe)
We only send general WhatsApp messages (tips and updates) to people who ask for them: on our WhatsApp page (the box there is never ticked for you), by saying yes when we ask in a chat, or by leaving the optional marketing checkbox ticked on a form that also asks for your phone number (that box may be pre-ticked, you can untick it, and it covers occasional email updates and relevant Arthat ads on platforms like Meta and Google, which our privacy policy explains). The WhatsApp page box reads:
“Send me Arthat's practical AI tips and updates on WhatsApp. I can stop any time by replying STOP.”
When you subscribe we record your name, number, company, the date and time, where you opted in, and the exact wording you agreed to. We send practical AI tips and occasional updates from Arthat, at most two messages a month. Someone we have only emailed is never added to WhatsApp unless they ask to be.
How to stop us contacting you
- Email:reply “no thanks” to any of our emails. We stop the same day.
- WhatsApp: reply STOP to any message. You are removed straight away.
- Anything else: email privacy@arthat.org.
So that we never contact you again by mistake, we keep a do-not-contact list holding only your email address or phone number and the date you opted out.
How long we keep it
- If you don’t reply to our outreach, we delete your details six months after our last message.
- If we start working together or keep talking, we keep your details for as long as that relationship lasts.
- Enquiry details are kept for as long as we are talking, and deleted six months after our last contact if nothing comes of it.
- WhatsApp consent records are kept while you are subscribed and for as long as we need to show that you agreed.
- The do-not-contact list is kept permanently, with nothing else in it.
Who else handles it
We use a small number of service providers to store and send messages: Google Workspace (email), our CRM and email-sending tools, our own database server for website forms, and Meta’s WhatsApp Business Platform for WhatsApp. They process the data only on our instructions. We never sell or rent your details.
